Starting February 1, 2014, BayArea Systems will begin offering assistance to healthcare providers that deal with protected health information. This includes covered entities, anyone who is providing treatment, payment and operations in healthcare; as well as business associations, anyone with access to patient information/data and provides support in treatment, payment and operations; all subcontractors, and business associates of business associates also need to be in compliance. The HIPAA Privacy Rule (also known as electronic protected health information ePHI)pertains to the saving, accessing, and sharing of medical and personal information of any individual; the HIPAA Security Rule are standards to protect health data created, maintained, transmitted electronically.

Bay Area Systems will assist with implementing physical safeguards, that include putting limited facility access and control in place; implementing policies about the use and access to all computer workstations and electronic media. Technical safeguards should be implemented to allow only the authorized to access electronic protected health data through the means of unique user ID, automatic log off and/or screen lock, emergency access procedure, as well as proper data encryption. IT disaster recovery and off-site data backup are also keys to ensure any electronic media failures can be remedied quickly and patient health data can be recovered accurately and as complete as possible.

Starting February 1, 2014, Bay Area Systems begin offering assistance to implement HIPAA Administrative Security Service that includes audits and reports, document policies and procedures, as well as help organize staff and business associate trainings. BayArea Systems will advise on physical security, and help with ensuring only authorized users should have access to physical servers that are in locked server racks, suites and cages.
