After a comprehensive mini competition process, Robert Jones & Agnes Hunt Orthopaedic & District Hospital NHS Trust join an ever growing list of NHS Trusts recognising digital dictation as a key element to cut costs and boost productivity

The Robert Jones & Agnes Hunt Orthopaedic & District Hospital NHS Trust has a national and international reputation for Orthopaedic surgery and musculoskeletal medicine. In order to maintain and further enhance this reputation the Trust wanted to ensure that it’s secretarial functions were fit for purpose and utilizing the most up to date technology. The Trust chose to begin implementation in early 2011 to over 200 users trust wide. The Trust will replace its analogue tape based systems, introducing a completely transparent document creation process from Clinician to patient.

“The introduction of digital dictation will aid in the reduction of backlogs of transcription within the secretariat department further enhancing the Trust’s productivity and efficiency. With significant variability in current performance and assumed workloads of secretarial staff, the improved monitoring and reporting mechanisms from BigHand will allow the Trust to produce benchmarking statistics to help with a thorough review of processes, improved balancing of workload, and maximize productivity and efficiency.”
In addition, the trust recognised the importance of being able to reduce unnecessary time spent by Clinicians titling dictations; the implementation of BigHand’s Clinic Builder module will enable Clinicians to “Send Profile dictations” with a single click. Clinic Builder uses data from a third party clinical system, in this case the Trust’s PAS system, to generate a list of pre-populated, profile dictations. Clinician’s then have the ability to dictate letters against specific patients so each dictation is automatically titled and profiled with the correct information with a single click. This means dictations can be created quicker during clinic, speeding up the process and improving the accuracy of patient information.

“The Trust’s Secretaries are looking forward to the introduction of digital dictation and in particular the easy identification and extraction of urgent dictations from Outpatient Clinic lists, as current processes with tapes are frustratingly time-consuming. The Trust is expecting a significant improvement in document turnaround times, visibility and rebalancing of workload across the Sub-specialties’, and the ability to react swiftly to smooth out the peaks and troughs of activity which often lead to administrative delays.”
The mini competition was run through the West Midlands procurement hub (HPC) and Robert Jones & Agnes Hunt Orthopaedic & District Hospital NHS Trust is the second NHS Trust within the past 6 months to select BigHand as their preferred supplier of digital dictation software.
