The Newest Features Added to Dokmee

Dokmee has added two new features consisting of File Retention and Automatic Backup.

Dokmee has added two new features consisting of File Retention and Automatic Backup. These two features are only available in the Enterprise Edition of Dokmee. File Retention and Automatic Backup were designed for managing and retaining files as well as storing them to a backup server. There have also been more improvements on features that already exist within Dokmee.

File Retention

File Retention is being introduced for those documents everyone seems to forget about. File retention manages how long the records are to be retained by providing direction and guidance on recordkeeping requirements. The process of creating a retention schedule begins with gathering information by conducting a record inventory. In the end, the retention schedule is usually approved and signed off by the leadership of the organization. File Retention offers three scheduled automatic Archival/Disposal methods; permanently delete, move to a specified folder within Dokmee, export to an external location. Also one expired queue method to verify the files before performing a manual delete, move, or export. An email is sent to the listed addresses notifying the party a specified number of days before the files are to be expired. The length of the retention period varies by industry and changes based on different regulations and compliance requirements. Industries and vertical markets who may require File Retention are Manufacturing, Finance, Health Care, Banking, Insurance and Law.

Automatic Backup

Automatic Backup is a fail-safe feature in the case of a data loss event. Automatic Backup allows users to backup and store their current database to Microsoft SQL Server (2005/2008/2012), MySQL, or MySQL ODBC (3.5/5.1) and copy their files to a network location. The Backup features consist of either a Manual or Automatic method to back up your File Cabinets and Repository. A Manual Backup can be completed at any time to conveniently backup documents instantly. Automatic Backup is a scheduled backup that can be setup to run at any chosen time on any day of the week. Both Manual and Automatic Backup send notifications to the addresses provided listing the details about the backup service. Upon completion of the Manual or Automatic backup, a complete audit of the copied databases and files will be available through the Audit Log. In the backup Audit Log you are able to view all the tables copied over from the File Cabinet Log, and view all your files plus additional information from the File Log.

New Improvements within Dokmee

Dokmee has made new adjustments and improvements to many of the existing features. Automatic Import has indexing features that allow users to import files using a Flat File. Workflow has a new checkbox tree format which makes setting up a workflow easier to manage. The Check for Updates feature prompts users when version updates are available. This also allows the user to update from an installer location when the internet connection is not available. Dokmee Web has a merge feature where users can assign more than one document to Merge as in Dokmee Desktop. The speed of Search has improved drastically. Search optimized for Dokmee and Dokmee Web to return results instantly on large file cabinets. Keyword searches, full text searches and multi-level filtered searches are now 8 times faster. What use to take an estimated 16 seconds now only takes 2.
