RESTON, Va., July 18 /PRNewswire/ -- Q.Know Technologies Inc., a global provider of information management software, released today the findings of its survey which uncover business users' practices, preferences and productivity concerns in the managing, archiving and locating e-mail according to current company policies.
Increasingly referred to as "e-mail management," corporate practices and views vary dramatically in approaches to the problems of overload, storage and compliance of e-mail. The Q.Know survey entitled, "E-Mail Management: The First Step in Addressing Information Overload," was designed to better understand user frustration with e-mail overload and corporate approaches to harnessing the problem.
When asked "what percentage of e-mail messages are considered business critical?", 50 percent conveyed that between 40 and 80 percent of all e-mail received daily are vital to the business operations. The heavy reliance and dependence that business users place on e-mail is resoundingly clear in the finding below which identifies the depth of functionality users expect from their e-mail system.
The pressing corporate need for e-mail management is clearly demonstrated by the responses garnered when asked, "Does the growing volume of e-mailed information present a major problem for you or your organization?" The vast majority (47 percent) answered, "Absolutely yes; there is information residing on our systems that we may not even know exists." Only 2 percent responded confidently, "Absolutely not; we manage all information including e-mail across the company." In fact, 65 percent surveyed revealed they are not certain that necessary information can be consistently located.
To better understand how companies are approaching the problem, Q.Know inquired, "Does your enterprise have an overall e-mail management initiative in place to address the growing volume of e-mail sent and received each day?" A resounding 57 percent revealed they had no system in place; another 23 percent was "not sure."
If 40-80 percent of all e-mail received is considered business critical -- yet 47 percent of respondents do not feel they can locate this critical communication or documentation -- it is not surprising that senior management, as well as regulators, are pushing e-mail management to the top of the IT agenda.
